Data contoller and purpose

The information you have provided will be used by the London Borough of Tower Hamlets’ Supported Employment Service, to process your application for Tower Hamlets Work Experience Programme.

We process your data in accordance with the General Data Protection Regulation (GDPR) and if you have any concerns the Council’s Data Protection Officer can be contacted on DPO@towerhamlets.gov.uk

Condition For Processing Personal Data

It is necessary for us to process your personal data [(name, address, contact details)], under the GDPR [as a task carried out with consent], and more personal data (health) as necessary for [ with explicit consent].

A delay in you providing the information requested may result in a delay in providing appropriate services.

How long do we keep your information?

We will only hold your information for as long as is required by law and to provide you with the necessary services. This is likely to be for one year after the case is closed. For further details, you can view our Retention Schedule.

We may also anonymise some personal data you provide to us to ensure that you cannot be identified and use this for statistical analysis of data to allow the Council to effectively target and plan the provision of services.

Information sharing

Your personal information may be shared with internal departments. The council has a duty to protect public funds and may use personal information and data-matching techniques to detect and prevent fraud, and ensure public money is targeted and spent in the most appropriate and cost-effective way. Information may be shared with internal services and external bodies like the Audit Commission, Department for Work and Pensions, other local authorities, HM Revenue and Customs, and the Police.

This activity is carried out under social protection law.

We have a duty to improve the health of the population we serve. To help with this, we use data and information from a range of sources including hospitals to understand more about the nature and causes of disease and ill-health in the area. This data would normally be anonymised and never used to make decisions on a specific individual or family.

Photography and filming policy statement

The Supported Employment Team will be working with young people aged under 16 as part of this Experiences of the Workplace Programme.

We recognise that:

  • Sharing photographs and films of our activities can help us celebrate the successes and achievements of the children and young people on our programmes, provide a record of our activities and raise awareness of this scheme.
  • The welfare of the children and young people taking part in our activities is paramount.
  • Children, their parents, and carers have a right to decide whether their images are taken and how these may be used, regardless of age, disability, gender reassignment, race, religion or belief, sex, or sexual orientation.
  • Consent to take images of children is only meaningful when children, their parents and carers understand how the images will be used and stored and are fully aware of the potential risks associated with the use and distribution of these images.
  • There are potential risks associated with sharing images of children online.

We will seek to keep children and young people safe by:

  • Always asking for written consent from a child and their parents or carers before taking and using a child’s image.
  • Always explaining what images will be used for, how they will be stored and what potential risks are associated with sharing images of children.
  • Making it clear that if a child or their family withdraw consent for an image to be shared, it may not be possible to delete images that have already been shared or published.
  • Only using first names of children whose images are being used in our published material.
  • Making sure children, their parents and carers understand how images of children will be securely stored and for how long (including how we will control access to the images and their associated information)
  • Reducing the risk of images being copied and used inappropriately by only using images of children in appropriate clothing (including safety wear if necessary)
  • Using images that positively reflect young people’s involvement in the activity.
  • We will ensure everyone involved in this programme knows the procedures to follow to keep children safe.
